Inventory Tracking: Troubleshooting
Messages you may see in Inventory Tracking screens, why they appear, and what to do.
| Message or situation | Why | What to do |
|---|---|---|
| Inventory tracking is not set up for this company yet | The feature is not installed for this company | Ask the implementation team to install it |
| A screen is missing from the menu | No access right | Grant it in Access Rights, then log out and in |
| In use: deactivate instead of deleting | Items use that option or attribute | Untick Active instead of deleting |
| Axes cannot change once variants exist; options can only be added | Variant items were built from all attributes | Add options only, use a descriptive attribute, or set up a new item |
| Item … already has variants set up in … | One item, one Item Variants record | Open the existing record |
| Cannot delete: these variants have transactions | Variants appear in documents or batches | Deactivate instead |
| Fill the fields marked * | The item's tracking profile requires those fields | Fill the red cells in the batch dialog |
| Batch … already exists with production date … | One batch has one set of dates | Use the original dates, or a new batch number |
| Expiry date is before the production date | Dates swapped | Correct the dates |
| #UNASSIGNED is reserved for stock that existed before tracking | That name belongs to the system batch | Use another batch number |
| Not enough batch stock, or an expired batch refused on posting | The picked batches are short, or expired while the profile blocks expired batches | Pick other batches (Suggest), or check the profile's expiry rules |
| Batches changed. Save them before posting. | Unsaved changes in the batch dialogs | Save batches, then post |
| A transfer out is not listed | Not received by the other branch yet | Receive it there, or tick Show transfers not yet received |
| Batch table total differs from item stock | A document with tracked items was posted from its usual screen instead of Batch Allocation | Post tracked documents from Batch Allocation. Automatic catch-up of such postings is coming. |
| Switching tracking off asks for confirmation | Batch tracking stops for new movements | Confirm only if intended; balances stay as history |
