Payments, Deductions and Increments

One-off bonuses and deductions for a payroll month, and permanent salary increments – step by step with examples.

Most of the salary is the same every month and comes from the employee record. These screens handle what changes: a one-off bonus, a fine, a ticket reimbursement or a pay rise. Enter them before you run the month's payroll.

Which screen should I use?

ScreenWhich payroll month?Must it be posted to reach payroll?
Other PaymentThe month of the Payment DateYes – and With Salary must be ticked
Other DeductionThe month of Date GNo – included once saved. Posting just locks it
Salary IncrementEvery payroll after it is appliedApplied with Update Now

Other Payment – a one-time extra amount

  1. Open Other Payment and start a new entry (New Other Payment).
  2. Select the Employee Code (active employees only).
  3. Choose the Payment Type – the reason, from your Other Payment Types (e.g. Bonus, Ticket Reimbursement).
  4. Choose the Payroll Allowance Type – which payslip column the amount should appear in (e.g. "Other Allowance" or "Bonus").
  5. Enter the Amount and the Payment Date. The Payment Date decides the payroll month.
  6. Keep With Salary ticked to pay it through payroll. Untick it only if you are paying it separately (by cash or cheque) and want it recorded here.
  7. For ticket payments, fill Paid Ticket Quantity. Add Notes if useful.
  8. Click Save, then Post.
Don't forget to Post. An Other Payment that is saved but not posted is not included in payroll. After posting it can only be viewed.

Other Deduction – a one-time amount taken from salary

One document can hold deductions for many employees – handy for a monthly phone-bill or canteen list.

  1. Open Other Deduction and click Create Other Deduction.
  2. Set Date G to a date in the payroll month you want to deduct in.
  3. Add a row per employee (Add Row): Emp Code, Deduction amount and a Remark that the employee will understand. Each employee can appear once per document.
  4. Click Save. The amounts are deducted in that month's payroll.
  5. Optionally click Post to lock the document so it can no longer be edited or deleted.

Salary Increment – change the monthly salary

Use Salary Increment instead of editing the employee's earnings directly. It keeps a history of every raise, prints in the Salary Increment report, and recalculates GOSI on the new salary.

  1. Open Salary Increment and click Create Salary Increment.
  2. Select the Employee. The Department section shows where they work, and Current Status shows today's salary, part by part.
  3. In Salary Increment, type the new amount of each part – the full new figure, not the difference. Parts that don't change keep their current value. If you use grades, amounts must stay within the grade range.
  4. Tick Update Now to apply the new salary immediately.
  5. Click Save. The employee record, GOSI and the next payroll now use the new salary.
Timing: apply the increment before running the payroll of the month in which it takes effect. An increment that hasn't been applied yet can still be edited or deleted; an applied one stays in the history.
