Batch Labels and Batch Count
Print GS1 labels with the batch and expiry, scan them back in the batch dialogs, and count stock batch by batch.
Two screens under Inventory Tracking → Transactions: Batch Labels prints barcodes that carry the batch and expiry, and Batch Count checks each batch on the shelf against the system. The batch dialogs of Batch Allocation read the labels back (see Batch Allocation › Scanning).
Batch Labels
Menu: Inventory Tracking → Transactions → Batch Labels
- In Add batch, type part of the batch no, item code or name and pick the batch. Repeat for more batches.
- Set Labels (how many) for each batch.
- Choose the Barcode: GS1-128 (a linear barcode, read by any GS1 scanner) or GS1 QR code (a GS1 Digital Link, readable by phones too).
- Choose the Label size (50 × 25, 70 × 40 or 100 × 50 mm) and, if wanted, Include production date (11).
- Check the preview and click Print. The labels open alone in a new window, one per page at the label size, for a label printer.

Print batch labels
This video will show: choosing batches and copies, GS1-128 or QR, label size, printing, and scanning a label back in a sale.
Batch Count
Menu: Inventory Tracking → Transactions → Batch Count
Counts one item's batches in your branch and corrects the batch breakdown. Item stock does not change here: Batch Count only moves stock between batches (including Unassigned).
- Pick the Item (batch-tracked items with stock in your branch; the list shows the stock).
- Enter the Counted quantity of each batch. A batch left empty is not counted and keeps its quantity. Difference shows the change.
- A batch found on the shelf that the system doesn't show: Add batches found on the shelf opens the batch dialog (batch no, dates, extra batch fields, quantity).
- Read the note under the table:
- Counted total equals item stock → Apply count moves stock between the batches to match.
- Counted total differs from item stock by N → post a stock adjustment for N first (in its usual screen, then Batch Allocation › Stock, choosing the batches the note lists), then count again.
- Optionally add Notes (e.g. the count sheet no) and click Apply count.
| Batch no | Expiry date | System | Counted | Difference |
|---|---|---|---|---|
| Unassigned | — | 4 | 0 | -4 |
| P2610A | 2027-06-30 | 6 | 10 | +4 |
The 4 Unassigned pieces turn out to be batch P2610A
Each applied count gets a number LCT… and shows as Batch count in Batch transactions; the notes list every change (e.g. Count: #UNASSIGNED 4 → 0, P2610A 6 → 10). Value moves at the source batch's average cost, so the item's value stays the same.
Count stock by batch
This video will show: counting an item's batches, applying a count that matches item stock, a count with a shortage, and a batch found on the shelf.
Rules
- Batch Count and Batch Labels show only batches of your branch (count) or any batch (labels); the Unassigned batch has no label.
- The count is checked again when applied: if the batch stock changed meanwhile, open the item again.
- Quarantined or blocked batches can be counted like any other; their status stays.
