Job Orders

Make a job order from a sales order, produce its items, and follow what is not started, partial or completed.

Menu: Production → Job Orders

A job order is a production order made from a customer's sales order. Its items are the sales order's items, so nothing is typed twice. Production entries made on the job count towards it, and its status is worked out from what was produced — it is never typed.

Make a job order

  1. Click Add Job Order.
  2. In Sales Order *, pick the order. The list shows your branch's sales orders that aren't cancelled, with the job order each already has. The Customer fills in, and Due Date takes the order's delivery date (change it if needed).
  3. Check the Date * and add Notes if you like.
  4. The Items table shows each item of the order in its base unit: Ordered, Produced 0, Remaining, status Not started.
  5. Click Save: Job order created …. Produce becomes available.

Produced is the output quantity of the production entries made on this job, for that item. Remaining = Ordered − Produced (never below 0). Quantities are in the item's base unit: an order line of 2 boxes of 12 counts as 24.

All / Posted / Not posted

These buttons choose which production entries count as produced:

  • All — every entry on the job, saved or posted (the default).
  • Posted — only entries already posted: what is really in stock.
  • Not posted — entries saved but not posted yet: work waiting to be posted.

The figures and the status change with the button. Example: 60 of 100 kits produced in two entries, 40 posted and 20 not: All shows 60 (Partial), Posted 40, Not posted 20.

Produce

Click Produce on an item: Item Assembling opens with the job order and the item already chosen, its bill of materials loaded, and Output Qty set to the remaining quantity. Change the quantity to what you actually make, fill in the run, and save. Back on the job order, Produced, Remaining and the status are updated. See Production Entry.

  • Produce is greyed out until the job order is saved (Save the job order first), on a cancelled job (This job order is cancelled), and for users who can't add Item Assembling entries (You have no rights to add Item Assembling entries).
  • Producing more than ordered is allowed: the entry saves with a warning, e.g. KIT-1: ordered 100, produced 130.
  • The Production entries (n) tab lists the job's entries — Doc No, Date, Item, Quantity, Posted / Not posted. Click a row to open the entry.

One job order per sales order

A sales order can have only one open job order. Picking a sales order that already has one asks This sales order already has an open job order: JOB-0001. Open it? — Yes opens that job order. To start again, cancel the old one first.

Change or cancel a job order

  • The Date, Due Date and Notes can be changed: click Update. The sales order of a saved job order can't be changed.
  • Cancel Job asks Cancel this job order? Its sales order can then get a new job order. A cancelled job order shows a red Cancelled chip and can no longer be changed or produced against.
  • A job order with production entries can't be cancelled: Production entries are linked to this job order; it can't be cancelled.

The Job Orders list

Columns: Job No., Date, Sales Order No., Customer, Due Date, Status and Produced % (a bar). Filter by Status, From Date / To Date, and by which Production entries count (All / Posted / Not posted). The search finds a job no., sales order no., customer or notes. Click a row to open the job order.
